Welcome to Carved + Crafted by Chartwells at University of Memphis! Our mission is to provide you with exceptional quality, outstanding service and a creative cutting-edge culinary experience. Our professional staff is available to assist in planning your special event Monday-Friday 9:00am – 5:00pm.

Policies & Procedures

To ensure optimal selection and the best possible service we kindly ask that events be booked at least seven (7) business days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs, however we cannot guarantee our availability or your menu selection for events booked less than three days prior to the event date.

For events requiring more detailed menu selections, such as luncheons, dinners and larger groups please reserve the date with us at least two weeks in advance. This will ensure our availability and help us to customize a menu to suit your needs

Late Order Placed

A 10% or $50 (whichever is greater) late order fee will be applied for all orders placed less than three (3) business days prior to the event date.

Guest Counts & Final Menu

Confirmation of the estimated number of guests is required by 12:00noon three business days before your event. Menu details must be finalize by 12:00 noon three business day as well. For billing purposes your final bill is based on guarantee number of guests to attend, plus any additional guests in excess of your guarantee

Cancellation

In the event that you must cancel a previously planned event, please contact your catering office as soon as possible to avoid late charges. Cancellations not submitted prior to three business days before the event will be assessed 100% of the event charge. If the event date is rescheduled, 50% of the original event will be charged

Service ware and China

All disposable service ware will be furnished as accompaniment to all items purchased. China and glassware are available for an additional charge of $2.00 per person for University of Memphis events held on campus. Additional charges will apply for the non- University event for china service.

Table Linen

Linen Tablecloths are supplied for all food and beverage service tables at events.

Tablecloths for non-food tables are available for an additional $4.00 per table (85 x 85 rounds & 54x 112 banquet) Floor length linens (120’ rounds & 90 x 132 square) are available for an additional costs of $12.00 each.

Linen napkins are available for an additional $.70 per guest (variety of colors available). Table linens must be ordered at least one week prior to your event. Specialty linens are available for an additional fee, and must be ordered at least 2 weeks prior to your event.

Tax Exempt

We request tax-exempt forms be emailed (5) business days prior to the event.

Billing & Payment

A form of payment (University Billing Account or credit card) is kindly requested five business days prior to the event date. We ask that contracts be paid in full three business days prior to event date. For groups outside of University of Memphis we ask for a 50% Deposit at time of booking. Which will be applied to your final invoice and final payment due three business day before your event. 

Safety Food

Safety and sanitation is a Chartwells priority. Any unused food remains the property of Chartwells & catering and cannot be removed from an event in accordance with state health regulations. All condiments and disposables also remain the property of Chartwells & Memphis Main Catering.

Special Diets

Special diets are accommodated upon request; we kindly request that your needs be submitted as soon as possible. Additional fees may apply to adjusted meals.

Catering Wait Staff

All buffet and plated meals include adequate wait staff. Events we staff, there will be a $20 per hour fee per server with 3 hour minimum. (First hour is free; net 2 hour minimum charge)

Should you desire additional servers, or for an event that attendants are not assigned, you will be billed $20.00 per hour service fee per server.

Bartender fee

$30 per hour with a 3 hour minimum per bartender. Carving stations and additional specialty request will have applicable charges. Charges may be increased based on labor. Contact your sales representative for billing questions.

Delivery & Pick-Up Orders

If drop off and pick up only, no charge for 1 hour of labor. Delivery fees will apply if orders are under $100.Catering orders will include necessary disposable utensils, dinnerware, and condiments in quantities consistent with your order. To avoid a delivery fee, clients may pick up orders at the agreed upon spot

Pick-up orders are limited to disposable ware only.

University of Memphis Conference & Event Services Events:

1) 20% service charge – covers service staff & table linens (85 x 85 rounds & 54 x 112 Square) for event based on Chartwells specifications. 
2) Any request above and beyond what we deem appropriate will be charged $20 per hour per server with 3 hour minimum. 

3) Bartenders , Carving stations and additional specialty request will have applicable charges
